BOOKING TERMS AND CONDITIONS – ULBSTER ARMS HOTEL

BOOKINGS & INCLUSIONS

All accommodation bookings made directly with Ulbster Arms Hotel (either by phone or via our website) include:

  • Full Scottish breakfast
  • High-speed Wi-Fi
  • Ensuite bath and/or shower rooms
  • In-room television
  • Complimentary tea and coffee-making facilities

CHECK-IN AND CHECK-OUT

  • Check-in: From 15:00. You are welcome to arrive early, and we can store your luggage until your room is ready. If your room is available before 15:00, we will notify you.
  • Check-out: By 11:00. A late check-out can be arranged by prior request.

CANCELLATION POLICY

We require credit or debit card details to secure your booking; however, no payment will be taken at the time of booking. Payment will be processed upon departure.

  • Cancellation Notice: If you need to cancel or amend your booking, please notify us as soon as possible.
  • Less than 24 hours’ notice: If you cancel with less than 24 hours’ notice, the full cost of your stay will be charged to your provided credit or debit card.

NUMBER OF GUESTS PER ROOM

The number of guests occupying a room must not exceed the maximum capacity agreed upon at the time of booking. Any breach of this condition may result in immediate termination of your stay. Children aged two or older will count toward the total number of guests.

Third-party guests invited to the hotel are not permitted to stay overnight.

FAMILY & PET-FRIENDLY POLICIES

  • Family-friendly Accommodation: We offer family-friendly rooms in both the main hotel and Dale building. Ulbster and Milton buildings feature communal living and dining areas, perfect for families booking multiple rooms.
  • Dog-friendly Accommodation: Dogs are welcome in most hotel rooms. A fee of £10 per dog, per night applies.

PARKING

Parking is limited to two cars per booking, and vehicles must be parked in designated areas.

MEALS & DINING

  • Breakfast: 06:30 to 09:30 (Monday to Saturday) and 06:30 to 10:00 (Sunday).
  • Lunch: 12:00 to 14:00 (daily). Packed lunches available on request (booking required).
  • Dinner: 16:00 to 20:30 (daily). Pre-booking is recommended.
  • Lounge Bar: Open daily.

SMOKING POLICY

All rooms and indoor areas of the hotel are strictly non-smoking. Any traces of smoking within the property or surrounding areas must be cleared by the guest prior to departure. A deep cleaning charge of £200 will be applied if evidence of smoking is found.

PERSONAL INJURY & LOSS OF PROPERTY

The hotel is not responsible for any personal belongings, vehicles, or valuables left on the premises. All items are left at the guest’s own risk, and the hotel has no liability in case of theft, loss, or damage during the stay.

CIRCUMSTANCES BEYOND OUR CONTROL

If for any reason the reserved accommodation becomes unavailable due to circumstances beyond the hotel’s control (e.g., water damage, fire, breakdown of essential services), the hotel will offer alternative accommodation or dates. If neither option is acceptable, a full refund will be issued, including the deposit.

PROHIBITED MATERIALS

The use of drones, fireworks, or lanterns on hotel premises is prohibited unless expressly authorised by the hotel in writing. The storage of inflammable or explosive materials within or near the property is strictly forbidden.

ANTI-SOCIAL BEHAVIOUR

The accommodation must not be used for any illegal or immoral activities, or for business purposes. Guests are expected to behave courteously and responsibly. Disturbing or anti-social behaviour, including excessive noise after 10:00 PM, will result in immediate termination of the stay and possible eviction.

GOVERNING LAW

This contract, along with any disputes or claims arising out of it, shall be governed by and construed in accordance with the laws of Scotland.
